We are seeking a Program Operations Specialist to join our Global Experiences team, supporting the execution of live meetings, incentive travel, and world-class events. In this role, you’ll collaborate closely with account teams to ensure every client and attendee experience is seamless from start to finish. Responsibilities

 

  • Serve as a go-to resource for the daily operations of loyalty, incentive, and meeting programs across key accounts
  • Manage the attendee lifecycle: registration builds, invitation strategy, travel coordination, communications, and reporting
  • Support client-facing program elements including scheduling, agenda management, and onsite logistics
  • Maintain accurate data across registration platforms, CRMs, and tracking systems
  • Create and deliver periodic financial and operational reports
  • Monitor budgets, process purchase orders, and ensure timely vendor and contractor payments
  • Assist with contract management and fulfillment deliverables for both clients and independent contractors
  • Provide outstanding customer service, responding to client and attendee inquiries with professionalism and care
  • Coordinate logistics with hotels, DMCs, airlines, and fulfillment partners
  • Partner with internal managers and directors to refine workflows and implement best practices
  • Contribute to client updates, presentations, and program strategies with a solutions-focused mindset
  • Collaborate with team members to brainstorm new program initiatives and identify opportunities for process improvements
  • Support business development efforts by contributing fresh ideas and operational insights
  • Stay current on industry trends and emerging event technologies to enhance program execution

 

Required & Preferred Skills

 

  • 1-3  years of experience in program, event, or marketing operations (agency or hospitality experience a plus)
  • Strong written and verbal communication skills with the ability to liaise confidently between clients, vendors, and internal teams
  • Creative problem solver with an entrepreneurial mindset who takes initiative and ownership of projects
  • Ability to juggle multiple time-sensitive projects across platforms with precision
  • Proficiency with Microsoft Office Suite and intermediate+ Excel/Google Sheets skills; experience with Cvent or other event registration/CRM tools strongly preferred
  • Bachelor’s degree or equivalent experience
  • Willingness to travel up to 5-10% (domestic and international)

Salary Range: $52,000–$60,300 ($25-$29/hr)

The salary range for this position will be determined based on a variety of factors, including experience, qualifications, and the geographic location of the candidate.
